Procurement Administrator
We are seeking an experienced Procurement Administrator in our procurement/finance team to handle contract/subscription management and provide efficient administrative support to the wider business.

Location: This is a hybrid role meaning your place of work will be both your home address and the Company office address of Copley Hill Business Park, Cambridge Road, Cambridge, CB22 3GN. Typically one day per week from the office (usually Wednesday).
Hours of work: Full time 37.5 hours per week 9am – 5.30pm Monday – Friday.
Salary: £25,000 - £30,000 dependent on experience.
Overview
As part of our ambitious expansion plans, Softwerx Ltd is seeking an experienced Procurement Administrator in our procurement/finance team to handle contract/subscription management and provide efficient administrative support to the wider business. The role requires proficiency with CRM and financial IT systems as well as Microsoft Office applications such as Excel and Word.
You will work closely with the Technical Procurement Manager and be agile in picking up other administrative duties as required. The successful candidate will have a strong background in order processing, handling suppliers and liaising with sales teams.
Key Responsibilities
Order Management
- Raise purchase orders for customers and internal teams according to their needs and requests.
- Follow up with suppliers, as needed, to confirm or change orders.
- Support the provisioning, billing and general administration of Microsoft Licensing programmes.
- Track orders and ensure timely delivery.
Sales Support
- Respond to requests for pricing and product information.
- Determine the most appropriate solution for given requirements.
- Evaluate offers from vendors and negotiate better prices.
Operational
- Collaborate with the Technical Procurement Manager to create and update processes.
- Collaborate with the Group Finance department and other external teams.
- Support new team members and provide on-the-job training.
- Attend team and other staff meetings.
- Helping/providing cover for other team members as required.
- Keep up to date with all written and verbal communications (i.e., emails/messages/calls).
- Ensure all records are maintained and kept up to date according to company policies and procedures.
Training and Development
- Monitor your own work levels, progress and development.
- Undertake all core training and development programmes as required.
- Undertake relevant learning according to agreed Personal Development Plan.
Essential Experience and Qualifications
- Excellent IT skills, including proficiency in MS Office.
- Strong organisational and time management skills, with the ability to handle multiple tasks in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Practical approach to problem-solving and attention to detail.
Desirable Experience and Qualifications
- Proven experience in a procurement role.
- Experience with Sage 50 Accounts software.
- Experience working with Microsoft licencing programs.
- Experience within the IT and/or cybersecurity industry.
- Experience working within a Managed Services Partner (MSP) environment.
